Contracting Information

  • Students who are admitted to the university are automatically eligible to live on campus. No additional application is necessary.

Contracting Dates and Times

  • Contracting dates and times for newly admitted students in Single Housing are based on when students submit their completed admission applications to the university.
    Please note: the admission application timestamp will not be modified.

  • When contracting begins, students may see the number of bedspaces available by selecting "Available Bedspaces" from the "Single Housing" option under the "On-Campus" tab.
  • There is no Fall-only agreement. See Petition for Agreement Release for more information.
  • There is no guarantee of bedspace availability on a student's particular contracting date. If there is not a bedspace available in a student's preferred type of room, they may add themselves to the waiting list.
    • Students should note: Preferred roommates who have contracted for a room together are unable to change to a different bedspace, request a bedspace swap, or add themselves to the waiting list.

Contracting Dates for Winter 2024

  • Floors and/or buildings for students 19 and Over and Returning Residents (those who turned 19 prior to January 1, 2023 and returning tenants who have lived on-campus during the Fall and/or Winter semester of a previous academic year) may be available. See below for contracting information.

To best accommodate inquiries from current residents regarding continuing to live on campus, the waiting list tool will be utilized to gather bedspace requests. Current residents may submit a waiting list request indicating the housing area or bedspace they wish to continue living in.*
  • Waiting list offers will first be made to those requesting to stay in the same bedspace or apartment.
  • Waiting list offers to move to different apartments or other housing areas will be addressed after those requesting to stay in the same bedspace or apartment.
  • Current residents are encouraged to submit their waiting list request for the exact bedspace they wish to live in.
  • Bedspace availability may vary based on agreement period.
  • Requests made after 8:00 AM on February 13, 2023 may not be met.

Deferred Returning Missionaries

  • Returning missionaries who have deferred enrollment will be permitted to select housing and/or submit a waiting list request when contracting opens. The ability to select housing has no bearing on admission status. Those who are unable to select housing and/or submit a waiting list request when contracting opens, should contact the Campus Accommodations Office at 801‑422‑7350.

Contracting Process Walkthrough

Tips for Success

  • Students should check their message board under the "Account" tab once the process is complete. If successful, the student will see a message stating that they have successfully contracted for a bedspace.
    • A copy of the agreement may be viewed through the agreement confirmation message posted to the message board found under the "Account" tab once the agreement has been submitted. Any student who does not see this message should contact the Campus Accommodations Office immediately at 801‑422‑7350.
    • If there is a message stating that the student cannot complete an agreement due to a previous eviction, the student should return to step 6 in the process and ensure that the two boxes at the top of the page are checked. Both boxes must be checked to complete an agreement.

Walkthrough

  1. To complete a housing agreement, a student should sign in shortly before their Contracting Time. Students should not log in from multiple electronic devices as it may keep them from selecting a bedspace.
  2. Under the "On-Campus" tab and then under "Single Housing" or "Single Housing - 19 and Over and Returning Residents," students should click "Select a Bedspace." On this page, the student should select the appropriate agreement period. Students accepted for Summer Term should select their Summer Term housing bedspace first, then repeat the process for Fall-Winter semester where they may potentially be able to select the same bedspace selected for Summer Term, if desired.
  3. Students who have submitted mutual preferred roommate requests (Fall-Winter agreements only) will be prompted to select whether or not they would like to automatically hold the other bedspace in their chosen room for their preferred roommate. If they choose yes, they will see the number of available rooms that have both bedspaces empty. When a bedspace is selected, the other bedspace will automatically be held for 24 hours and the preferred roommate can log in to accept the hold and complete their agreement, regardless of their own Contracting Date and Time.
    • Once the person placing the preferred roommate hold submits an agreement, neither person will be able to change to a different bedspace, request a bedspace swap, or add their name to the waiting list. If preferred roommates need to change bedspaces together, they may contact Campus Accommodations at 801‑422‑7350.
  4. Students may select a bedspace by choosing the housing area, building, floor, and bedspace they would like from the available bedspaces. On the floor plans, available bedspaces will be green, bedspaces on hold will be yellow, and bedspaces that have already been selected will be red. Uncolored (white) bedspaces are not available for contracting. When a student selects their bedspace, it will turn blue. The bedspace will be held for one hour, allowing them time to complete and submit the agreement. If the agreement for the bedspace is not completed and submitted within one hour, the bedspace will be released for others to select.
  5. For those students who are not able to obtain the type of bedspace they want, the waiting list waiting list for Single Housing19 and Over and Returning Residents will be available.
  6. To place a hold for another student who is not their preferred roommate, a student can reference the "Holding a Bedspace for a Friend" section below.
  7. Students will create a personal profile which includes some of their likes, dislikes, habits and standards of living. This profile will be visible to other students looking at the same room/apartment. The profiles of potential roommates may be viewed by clicking on the red bedspaces in a given room.
  8. Students must check both eligibility boxes, if applicable, stating that they have never been evicted and are not sex offenders.
  9. Students will create a confidential FERPA Identifier, which acts as a password on their housing and dining records. The identifier also allows a student to designate individuals whom they want to be able to access their housing and dining information. This step is in compliance with the Family Educational Rights and Privacy Act (FERPA). Anyone calling BYU Campus Accommodations in regards to housing and dining records will need to provide this FERPA Identifier to receive specific information over the phone.   10. Students are encouraged to select a meal plan and read through the Terms and Conditions before submitting their agreements.
    • Note: Tenants of Helaman Halls are required to have a full meal plan. Tenants of Heritage Halls, Riviera, and Wyview Park are encouraged to select a meal plan as well, although it is not a requirement.
  11. Students should print a copy of the confirmation page to keep for their records.
  12. Those students selecting summer housing and who will also be selecting a bedspace for Fall-Winter will need to immediately repeat this process for the following Fall-Winter agreement period.
  13. In order to finalize securing a bedspace, students must pay their $50 Processing Fee and $100 Security Deposit in My Financial Center under Unpaid Charges.

Selecting a Meal Plan

  • Students may select a meal plan as part of the contracting process. If a student does not select a meal plan as part of the contracting process, they may do so later through My Dining Account.
  • Helaman Halls residents are required to have a meal plan and must select a meal plan during the contracting process.
  • Information about meal plans may be found at the BYU Dining Website.

Canceling or Changing a Meal Plan

  • Helaman Halls Residents
    • Meal plan changes can be made through My Dining Account up until the day before the agreement begins.
    • Between the beginning of the agreement and the add/drop deadline, meal plan petitions submitted requesting to change meal plans will be granted. Petitions will be granted and processed within 10 business days.
    • After the add/drop deadline, meal plan petitions to change meal plans will be considered on a case-by-case basis.
  • Students Not Living at Helaman Halls
    • Meal plan changes and cancelations can be made through My Dining Account up until the day before the agreement begins.
    • Between the beginning of the agreement and the add/drop deadline, meal plan petitions submitted requesting to change or cancel meal plans will be granted. Petitions will be granted and processed within 10 business days.
    • After the add/drop deadline, meal plan petitions to change or cancel meal plans will be considered on a case-by-case basis.

Submitting a Preferred Roommate Request

  • Preferred Roommate Requests are only accepted for Fall-Winter agreements.
  • Preferred roommate requests are not available for Spring or Summer Terms or Winter Only agreements. If your preferred roommate is able to place a bedspace on hold for you for Fall-Winter 2023-24, it will not change your contracting date and time for Spring or Summer Terms.
  • If a student and their friend would like to be roommates in the same room, they will both need to submit a Preferred Roommate Request within the timeframe allowed. This request must be mutual to be honored.
    • If the Preferred Roommate Request is not mutual -
      1. It will not be a valid Preferred Roommate Request, and the one with the earlier Contracting Date and Time will not be able to pull the other person into the room.
      2. The student with the earlier contracting date should select a bedspace on his or her Contracting Date and Time, and see what bedspaces may be available on the other student's later Contracting Date and Time.
  • To make a Preferred Roommate Request, both students must have each other's BYU NetIDs and first and last names spelled correctly. If names or BYU NetIDs are misspelled, the request will not be recognized.
  • The student with the earlier Contracting Date and Time will be the one to select a bedspace and put the other bedspace on hold for their preferred roommate.
  • The preferred roommate will then receive a message on their message board under the "Account" tab notifying them that a bedspace is on hold for them. The preferred roommate will then need to click on the included link to start the process of accepting the bedspace. The agreement must be submitted within 24 hours of the original student contracting, otherwise the hold will expire.
  • Once the person placing the preferred roommate hold submits an agreement, neither student will be able to change to a different bedspace, request a bedspace swap, nor add their name to the waiting list. If the preferred roommates need to change bedspaces together, please contact Campus Accommodations at 801‑422‑7350.
    • Should either preferred roommate request to terminate their housing agreement or ask for the preferred roommate link to be removed, one or both roommates may be at risk of their housing agreement being canceled by Campus Accommodations.
  • To submit a Preferred Roommate Request, the student should:
    • Click on "Edit" under "Your Roommate Request" on this page to enter their Preferred Roommate's NetID.
    • Once the NetID is correctly entered, the preferred roommate's name should appear. If it does not, the student should contact the Campus Accommodations office immediately at 801‑422‑7350 for assistance.

Holding a Bedspace for a Friend

  • While students can only have one preferred roommate, they may hold any additional available bedspaces in the apartment for their other eligible friends during the contracting process.
  • An eligible friend is someone who has been admitted to BYU and whose contracting date and time has already arrived.
  • During the process of contracting for a bedspace, a student may select a bedspace they would like to put on hold and enter the NetID of their friend when prompted.
  • The student must use their friend's NetID. Names, BYU ID#'s, etc. will not be accepted.
  • The friend now has exactly one hour to log in and accept the hold before it expires.
  • The student may repeat this process to hold a bedspace for an eligible friend as many times as there are available bedspaces in the room/apartment.
  • An eligible friend for Spring 2023, Summer 2023, Fall-Winter 2023-24, and Winter 2024 is one who turned 19 before January 1, 2023 or is a returning tenant who has lived on-campus during the Fall and/or Winter semester of a previous academic year.

Changing to a Different Bedspace

  • Please note: Once the student placing the preferred roommate hold submits an agreement, neither student will be able to change to a different bedspace, request a bedspace swap, or add their names to the waiting list. If preferred roommates need to change bedspaces together, please contact Campus Accommodations at 801‑422‑7350.
  • Tenants may select a different bedspace at any time before or during the agreement period by selecting "Select a Bedspace" on the "On-Campus" then "Single Housing" "On-Campus" then "Single Housing - 19 and Over and Returning Residents" appropriate housing tabs. They may then select the desired agreement period and click on "Find a Different Bedspace" at the bottom of the page.
  • Available bedspaces will appear green; tenants are welcome to select any of these. A bedspace appears orange if its current tenant has indicated that they might be willing to swap bedspaces with another tenant (see further bedspace swap information below).
    • Once an agreement period begins, a Hall Advisor must approve the request before the bedspace change is complete.
    • Bedspace changes may not be submitted if a student has a past due balance on their account.

Bedspace Swap Preferences

  • To view or change Bedspace Swap Preferences, tenants should click "Select a Bedspace" and click on the agreement they want to view or change. The available options are as follows:
    • Not swappable
    • Swappable within your same building only
    • Swappable within your same housing area only
    • Swappable with any bedspace in On-Campus Housing
  • To finish updating their Bedspace Swap Preferences, the student should click on "Save My Preferences".
  • When tenants' bedspaces are made swappable, other tenants will be able to send them Bedspace Swap Requests, which will be posted as a message on the message board under the "Account" tab. The tenant will then have 72 hours to accept the request, should they choose to do so.

Bedspace Swap Requests

  • Whether changing or swapping bedspaces, a tenant should make sure to obtain a confirmation number after submitting an agreement for the new bedspace.
  • To start a Bedspace Swap Request, a tenant should click on "Select a Bedspace" on the right side of this page.
  • Once there, they should choose the semester/term for which they would like a bedspace swap.
  • Under the "Agreement Options" section, they may select "Find a Different Bedspace", then select the effective date, and finally click "Continue". This will take them to the beginning of the Contracting process, the same as when they selected a bedspace the first time.
  • The tenant should select their desired housing area. A box will then appear with a list of all the buildings in the selected housing area and how many bedspaces are available in each building. It should be noted that this count includes both empty (green) bedspaces as well as swappable (orange) bedspaces.
  • Tenants may then select their desired building and floor from the list.
  • A floor plan of the selected floor will be displayed. The tenant may click on their desired room/apartment that has a green or orange bedspace.
  • When selecting either a red or an orange bedspace, a window will display the option to "View Preferences" of the tenant who currently has that bedspace.
  • If the bedspace is swappable (orange), then another option to "Request Swap" will also appear. The tenant may select this option to begin the swapping process.
  • They should then review the Swap Confirmation page and select "Confirm Swap".
  • If a green bedspace is selected, then that bedspace will be placed on hold for one hour while the tenant finishes and submits the bedspace swap. If the other bedspace in the room is also green, they will be given the option to place that bedspace on hold for a friend. If the bedspace is unavailable or the tenant does not want to place it on hold, they may continue to Step 5.
  • The tenant may then fill out or edit the Preference Survey and continue to Step 6.
  • The housing eligibility boxes must be checked, where applicable, stating that tenants have never been evicted and are not a sex offenders.
  • Tenants should review their FERPA information and make any necessary changes. They may select whether or not they want to give certain individuals access to their housing records and if BYU can provide information to on-campus stakes/wards of The Church of Jesus Christ of Latter-day Saints for the purpose of obtaining membership records.
  • In the Meal Plan Preference section, tenants may keep their current meal plan by clicking the link to "Continue to Step 8".
    • If a student selects a different meal plan than what they have currently, the meal plan will only be changed if the Bedspace Swap Request is accepted and approved. If it is not, there will be no change made to the meal plan.
    Finally, the tenant should read the Terms & Conditions, check the box certifying their agreement at the bottom, and then click the "Agree - Confirm Swap" button.
  • A confirmation message will be sent to tenants’ message board under the "Account" tab indicating that they have made a Bedspace Swap Request. When and if the Bedspace Swap is accepted and approved, the tenants will again be notified via a message on their message board.
  • Once an agreement period begins, a Hall Advisor must approve the request before the bedspace change is complete.
  • Only one swap request may be submitted per bedspace.
  • Bedspace swap requests may not be submitted if a student has a past due balance on their account.
  • Campus Accommodations is unable to provide personal information regarding students involved in a bedspace swap request.

Canceling a Bedspace Swap Request

  • To cancel a Bedspace Swap Request, the tenant should click on "Select a Bedspace" and complete the following steps:
    • Select the semester or term.
    • Under the "Change Your Room and Bed Selection" section, select "Cancel Swap Request".
