Conference Assistant

The Office of Residence Life reserves the right to dismiss a conference assistant at any time if the staff member fails to meet any of the qualifications or fails to fulfill his/her responsibilities.

Conference Assistant Qualifications

Employment Period

  • Employment goes from April 27, 2024-August 24, 2024.
  • Conference Assistants may move into their rooms on Saturday, April 27, 2024 at 5:00 PM.
  • Conference assistants must be available for desk training in April. Desk and FERPA training will be scheduled at the employee's convenience during the month of April.

Academic Qualifications

  • Must be BYU students enrolled for Fall Semester 2024, or enrolled for a minimum of 3 credit hours for either Spring or Summer term.
  • Must not have class from 4:00 PM to 5:00 PM on Tuesdays.
  • Do not need to be in enrolled in Spring/Summer classes if enrolled in classes for the upcoming Fall semester.
  • Non-student status during spring/summer term is preferred; however, conference assistants may attend classes, providing they do not conflict with their employment duties. Classes between 2:00 PM and 4:00 PM are preferred. Approval from area manager is required.

Leadership Qualifications

  • Must abide by the Honor Code, the Dress and Grooming Standards, and Housing Guidelines.
  • Must support and uphold mission and aims of Brigham Young University.
  • Must have good interpersonal and public relations skills and be customer-service oriented.
  • Should have excellent time-management skills and be self-motivated.

General Qualifications

  • Must be single students.
  • Are required to attend spring student check-in training on Friday, April 27, 2024 at 10:00 AM.
  • Are required to attend desk training (April).
  • Are required to attend additional training sessions during the month of May -- dates to be determined.
  • May be scheduled to work up to 40 hours per week depending on individual conference needs.
  • May be required to transport themselves to housing areas (Helaman, Heritage, LISR, Riviera or Wyview Park) for job responsibilities.
  • Will be required to perform a significant number of physical tasks on a daily basis for up to five hours at a time. Examples include, but are not limited to, roving the housing areas (both inside and outside), taking out trash, sorting laundry, climbing stairs, moving furniture, etc.

Scheduling

  • Will be expected to work on holidays (i.e. Memorial Day, July 4th, Juneteenth, etc.) and weekends
  • Must be available to work scheduled hours—schedules may be subject to last-minute changes.
  • Scheduling for conference assistants will vary from week to week according to conference needs — conference assistants must remain flexible to schedule changes.
  • Conference assistants may not accept other positions or make commitments that interfere with their employment responsibilities; i.e. additional employment, traveling performing groups, etc.
  • At times when a Residence Hall may be used for a different gender, conference assistants will be asked to stay temporarily in another hall or Residence Life housing area.
  • Conference assistants will be scheduled for on-call responsibilities — on-call time is not restricted to the premises but must be available to respond to guests needs within a reasonable time.

Compensation

  • Spring/Summer 2024 compensation includes room, meal plan, plus an hourly wage of $11.85.

Conference Assistant Responsibilities

Guest Relations

Conference assistants are expected to:

  • Represent and promote a positive image of Residence Life, Brigham Young University, and The Church of Jesus Christ of Latter-day Saints.
  • Become acquainted with conference personnel and counselors.
  • Help guests maintain an acceptable level of conduct by encouraging guests to follow the Honor Code and other Summer Conference Guidelines.

Customer Service

Conference assistants:

  • Commit to providing excellent customer service and promoting a positive housing atmosphere.
  • Help guests resolve concerns or conflicts that arise during the conference or camp.
  • Assist hall advisors with meeting the needs of housing guests.

Safety and Security

Conference assistants:

  • Promote safety and security.
  • Unlock and/or secure residence halls as outlined by the hall advisors.
  • Assist during emergencies.
  • Conduct safety and security roves throughout the housing areas.
  • Will receive a background check, through Truescreen, one month before being hired for a position.

Physical Facilities

Conference assistants:

  • Assist Residence Life staff personnel in preparing for all incoming conference groups; i.e. removing and replacing bedding, towels, etc.
  • Help with custodial duties as assigned (i.e., linen exchange, trash, etc.).
  • Assist with conference check-ins and check-outs.
  • Assist hall advisors in assessing payment for damages and lost items as guests check out.
  • Assist hall advisors in conducting inspections of rooms for fire hazards, proper maintenance and housekeeping.
  • Assist hall advisors in maintaining accurate key inventories.

Reporting

Conference assistants:

  • Maintain daily contact with management (i.e. the hall advisors and/or area manager) to report special needs, guest concerns, damages, maintenance repair needs, or emergencies relative to conference guests.
  • Attend weekly staff meetings –Tuesdays 4pm-5pm.

Other Responsibilities

  • Become fully acquainted with and supportive of Residence Life Housing Guidelines.
  • Act directly under the supervision of hall advisors and area management.
  • Support hall advisors in their responsibilities and be available to fulfill floor, hall desk, area front desk, roving, and on-call assignments as directed by hall advisors or area management.
  • Fulfill other assignments and duties as directed by hall advisor and area management.

People to Know

  • Conference assistants are Residence Life employees who assist hall advisors and area management in facilitating the stay of conference guests.
  • Hall advisors are responsible for guests living in Residence Life housing areas. They supervise conference assistants.
  • Area management supervises the hall advisors and is responsible for all guests and students living in the Residence Life housing areas. Area management offices are located in each housing area.
