Contracting Information

Contracting Process

  • Students should read all the instructions BEFORE beginning the contracting process.
  • Students who are engaged or married at the time they sign an agreement for a dwelling should note the following:
    • Both Part 1 and Part 2 must be submitted before the agreement will be complete.
    • Part 1 should be submitted by the prospective tenant who is or will be enrolled in classes at the university. This is the person whose university account will be billed each month.
    • Part 2 must be submitted by the spouse/fiancé(e) before the 24 hour hold expires.
    • The same person cannot submit both Part 1 and Part 2 of the agreement, as both spouses are required to jointly complete the agreement. This requires both spouses to have a valid, working NetID.
    • Both prospective tenants should make sure they can log in to myBYU before beginning the contracting process. Click here to create a NetID.
  • Students who are single parents with dependent(s) only need to submit Part 1 of the agreement.

Part 1 - Instructions

If students are selecting a dwelling from the available dwellings page, they should begin with step 1.

If students have been offered a dwelling from the waiting list, they should skip to step 3.

  1. Log in
    • Students should sign in and click the "Select a Dwelling" link on the right side of this page.
  2. Dwelling Selection
    • Students may select the complex and the dwelling they want. Buildings with at least one opening are colored green on the map. Students should note the following parameters when looking for a dwelling:
      • Size
      • Maximum allowed occupants (two per bedroom)
      • Availability date
        • All agreements begin on the availability date listed.
        • If the student is engaged, they cannot complete an agreement for a dwelling with an availability date more than 30 days prior to their marriage date.
      • Rental rate
      • Floor
      • ADA accessibility
      • Location
    • Helpful features available on the Dwelling Selection page include the following:
      Feature Description
      Filter Options Students may filter which dwellings they see based on size and availability date. They should make sure they click the "Apply Filter" button after changing any of these filter options.
      Dwelling View Selecting the "view" link by each dwelling in the list will allow students to see where the dwelling is located in the building.
      Building Filter If a green building is selected on the map, only available dwellings in that building will appear in the list. Students should click the link to view dwellings from all buildings again, or select a different building on the map.
      Hover Indicator Hovering over a dwelling listing will cause a red arrow to point to its location on the map.
    • When a student is ready to continue, they should select a dwelling from the list.
  3. Dwelling Details
    • The floor plan of the selected dwelling will be shown on this page. If a student decides this is not the dwelling they want, they may return to the map and make another selection. Scrolling to the bottom of the page will allow students to view any other available dwellings in the same building.
      • If the selected dwelling is the one the student would like they should click the "Proceed to Contract - Part 1" button.
      • The selected dwelling will then be placed on hold for 30 minutes while the student completes Part 1.
      • If Part 1 is not submitted within 30 minutes, the dwelling will be released and become available again for anyone else to select.
  4. Eviction Statement
    • Students must check the box certifying they have never been evicted from BYU Contracted Off-Campus Housing or from BYU On-Campus Housing.
  5. Sex Offender Statement
    • Students must check the box certifying they are not a convicted sex offender.
  6. Agreement (Part 1 of 2)
    • Required information includes the following:
      • Marital Status - If married or engaged, the spouse/fiancé(e)’s NetID is required. If a student is engaged, the marriage date is also required.
        • Students may not complete an agreement for a dwelling with an availability date more than 30 days prior to their marriage date.
      • Dependent Information – The first, middle, and last names, genders, and dates of birth of all dependents who will be living with students must be listed here.
      • FERPA Information – Students should refer to the instructions in the agreement.
        • FERPA stands for the Family Educational Rights and Privacy Act. Each prospective tenant will set up a FERPA Identifier as part of the contracting process. Anyone calling housing offices regarding a tenant’s housing and dining records will need to provide the FERPA Identifier to receive specific information over the phone.
      • Students must indicate their agreement to the following items:
        • Eligibility Conditions
        • Lead-Based Paint Addendum
        • Terms and Conditions
    • Once finished filling out Part 1, students should click the "Submit Part 1" button.
  7. Confirmation
    • Students will be taken to a page confirming that Part 1 has successfully been submitted. If married/engaged, their spouse/fiancé(e) now has 24 hours to complete Part 2. If Part 2 is not completed by that time, the selected dwelling will be released. A message will immediately post to a student’s spouse's/fiancé(e)'s message board with a link to Part 2. If a student is a single parent with dependents, Part 2 does not need to be completed.
  8. Pay Processing Fee & Deposit
    • Immediately upon completion of Part 1 (if a single parent), students must pay a $100 security deposit and a $50 processing fee (if not previously paid). After clicking "Continue" button, students will be redirected to My Financial Center where they will be able to pay by clicking on "Unpaid Charges" and following the on-screen instructions to make the online payment. If payment is not made at this time, agreements may or may not be honored.

Part 2 - Instructions

Part 2 is to be completed by the spouse/fiancé(e) of the prospective tenant who completed Part 1. Single parents with dependents do not need to complete Part 2. Spouses/Fiancés have 24 hours following the submission of Part 1 to complete Part 2. If Part 2 is not submitted by that time, the selected dwelling will be released. Upon submission of Part 2, the agreement will be complete.

  1. Log In
    • Spouses/Fiancés(es) should sign in to the housing website and access the message on their message board stating that their spouse/fiancé(e) has recently completed Part 1 for their selected dwelling. The message will contain a link that will take them in to submit Part 2.
  2. Agreement (Part 2 of 2)
    • The following information will be required on Part 2 of the agreement:
      • FERPA Information - Spouses/Fiancés(es) should refer to the instructions in the agreement.
        • FERPA stands for the Family Educational Rights and Privacy Act. Each prospective tenant will set up a FERPA Housing Identifier as part of the contracting process. Anyone calling our office regarding your housing and dining records will need to provide your Housing Identifier to receive specific information over the phone.
      • Spouses/Fiancés(es) must indicate their agreement to the following items:
        • Eligibility Conditions
        • Lead-Based Paint Addendum
        • Terms and Conditions
    • When they are done filling out Part 2, they should click the "Submit Part 2" button.
  3. Confirmation
    • Students will be taken to a page confirming that Part 1 and Part 2 have successfully been submitted and their agreement is complete. A confirmation message will post automatically to both the student’s and spouse's/fiancé(e)'s message boards containing additional information about moving in.
